“Should we go custom or rental?” is one of the
most common questions in trade show planning — and one of the most commonly
answered wrong, because most people are trying to pick one answer for every
show instead of asking the question show by show.
The right choice depends on three things: how often you’re
exhibiting, how much your floor plan or message changes between shows, and
where you are in your budget cycle. Here’s how to actually think it through,
with a few real-world scenarios.
Factor 1: Show frequency
If you’re exhibiting at the same one or two flagship shows a
year, a custom build usually earns its cost — you’ll use it enough times to
justify the investment, and you control exactly how your brand shows up at the
events that matter most.
If you’re exhibiting at six, eight, or more shows a year
across different regions and floor plan sizes, a single custom build stops
being flexible enough. That’s when rental — or a hybrid approach — starts to
make more financial and logistical sense.
Factor 2: How often your message or floor plan changes
A company with a stable core offering and consistent
messaging can get years of use out of a well-designed custom exhibit,
refreshing graphics periodically without touching the structure.
A company that’s frequently launching new products, entering
new markets, or adjusting its story quarter to quarter needs a structure
flexible enough to keep pace — which usually favors rental or a modular
custom-rental hybrid over a fully fixed custom build.
Factor 3: Where you are in your budget cycle
Custom builds require a larger upfront investment, typically
amortized over several years of use. If you’re early in a budget cycle with
capital available, that math can work well.
If you’re mid-cycle, testing a new show, or uncertain about
next year’s trade show calendar, rental keeps your capital exposure lower while
you gather the data to decide if a custom investment is warranted.
Three real scenarios
Scenario A: The flagship-show company. Exhibits at
one major industry event a year, same message, same footprint. Custom is the
clear answer — the investment gets used enough to pay for itself, and the brand
consistency at that one high-stakes show matters.
Scenario B: The regional-circuit company. Exhibits at
eight regional shows a year, different booth sizes, similar message. This is
the hybrid sweet spot: a custom core (branded backwall, signature elements)
paired with rental extensions sized to each show’s footprint.
Scenario C: The company testing a new market. Exhibiting
at a show for the first time, unsure if they’ll return next year. Rental is the
obvious choice here — it lets them show up professionally without locking in
capital for a show they may not repeat.
The bottom line
Custom vs. rental isn’t a philosophy — it’s a calculation
based on your actual show calendar, how often your message changes, and your
budget timing. Most experienced exhibitors land somewhere in the middle, not at
either extreme.
